Terms and conditions

These terms cover both kinds of account: a candidate practising on their own, and a company or school assigning assessments. Creating either account means accepting them.

1. Who you are contracting with

Hexa Crew Tools is a trading name of DEVECE Aviation Services by Cesare Paolo De Vecchi, ul. Farbiarska 65G, 02-862 Warszawa, Poland, NIP 9512447039. In these terms "we" and "us" mean that business, and "you" means whoever holds the account.

2. Registering an account

A candidate account is for one person, you. A company account is held by an organisation, and the person who creates it becomes its owner and can add colleagues. A school or training provider holds a company account.

Register with your real name and an email address you control. You can sign in and look around before confirming that address, but you have to confirm it before starting a test. Keep your password to yourself; anything done through your account is treated as done by you. You must be at least 16 to hold a candidate account. We do not verify age at registration, and we will close an account if we learn the holder is under 16.

3. What the platform does

You can take practice tests for your own preparation, and you can be assigned an assessment by a company that invites you to one. A company can also turn a test document of its own into a runnable online test, which it checks and approves before anyone sits it.

4. Practice results are yours alone

Practice results are for your own preparation and are not shared with any employer. A result is an estimate from short tasks. It is not a qualification, it is not accredited, and it is not issued or recognised by any airline, authority or examination body.

5. Assessments a company assigns

When a company or a school invites you to an assessment, the result of that assessment goes to them, and they decide what it means for their selection. For those assessments the company decides why your data is processed and we act on its instructions, under a written agreement with it. What you do on your own practice account stays outside that.

6. How a result is produced

Reading, listening, grammar and multiple-choice sections are scored against fixed answer keys on our server. Written and spoken answers are marked by an AI model against a published rubric; the same marking runs three times and the middle result is used, and every run is stored with the model and rubric version.

Where a company uses an assessment to select candidates, a named person at that company reviews the mark and can change it before any decision is taken. We also send a sample of AI marks to human reviewers of our own.

7. Asking how your result was produced

You can ask how any result about you was produced, and we will tell you: which sections were scored against fixed keys, what the rubric was, what the AI marking produced, and what a human changed. You can ask for a human to review a mark from your result page. How our English marking works sets the method out in full.

8. Free use, plans and access codes

A free candidate account includes a set number of tests each month; your dashboard shows how many you have left. Company accounts run on a trial or on a paid plan. Access to the test library can also come from a code issued by a school or training provider, and a redemption is recorded against that code, so the school can see the code has been used.

Company plans are Starter at EUR 19 a month, Standard at EUR 59 a month, Professional at EUR 199 a month and Unlimited at EUR 399 a month. A year is charged at ten months. A candidate subscription is EUR 6.90 a month or EUR 39 a year. All prices include VAT where it applies. Any subscription renews automatically at the end of each period until it is cancelled.

You can cancel at any time from the billing page, with no notice period and no annual commitment. Cancelling stops the next renewal; the plan keeps working until the end of the period already paid for, and that period is not refunded in part. Nothing is deleted when a plan ends: results stay readable, and only sending new assessments stops.

9. Using the platform fairly

Do not copy, record, publish or pass on test questions, answer options or answers. Do not sit a test for someone else or let anyone sit one for you. Do not use software to complete, scrape or bulk-download tests. Do not try to defeat the integrity measures: during some tasks pasting is blocked and paste attempts, switching away from the tab and typing rhythm are recorded. Hold one account only.

We can suspend or close an account that breaks this section.

10. If you hold a company account

Assign assessments only to people you have a lawful basis to assess, and tell them the result forms part of your selection. Have a named person review a mark before you act on it. Upload only test material you have the right to use, and check every question produced from it before you approve the test; the approval is yours and it is recorded against your account.

Candidate data you collect through the platform is processed on your instructions under our data processing agreement, which is an annex to these terms and is accepted when you accept them. No separate signature is needed, so the agreement is in place from the moment the company account is created. Ask us if you need it as a standalone signed document for your own records.

11. Content and ownership

Our tests, rubrics, reports and marking stay ours. You may use them to practise or to assess candidates, not to republish or resell them. A test your company uploads and approves stays yours; we hold and run it for you. Your answers stay yours, and you allow us to store and mark them so that we can give you a result.

12. Your data, and closing your account

The privacy notice sets out what we hold, why, who else sees it and how long we keep it.

You can delete a candidate account from your account page. That removes your name and email permanently, detaches your test attempts from your identity, and deletes any stored report file that carried your details. It cannot be undone. We do not keep test attempts longer than 24 months, and shorter where a setting on this platform or an agreement with a company requires it.

A company account can be closed at any time, with no notice period. For 30 days after it closes, the company can still export its candidate data; after 30 days that data is permanently deleted. Tell us before the 30 days are up if you need it deleted sooner.

13. Changes to these terms

Every version of these terms carries the date it was issued, and the version you accepted is stored with your account. Where we change them in a way that affects you, we will ask you to accept the new version before you carry on using the platform.

14. Availability

We do not promise the platform is available without interruption, and a test can be interrupted by something outside our control, including your own connection. Where an attempt is lost through a fault on our side, it does not count against your free allowance or against a company's monthly volume, and you can sit the test again. We do not promise to recover the answers themselves, because where they were not saved there is nothing to recover.

15. Liability, and the law that applies

We provide the platform with reasonable skill and care. Beyond that we give no warranty: we do not promise that a result predicts whether you will be offered a job, that the platform suits any particular purpose of yours, or that it will be free of error.

Our total liability to you, for everything arising out of your use of the platform in any twelve-month period, is limited to the fees you paid us in that period. Where you paid us nothing, it is limited to EUR 100. We are not liable for loss of profit, loss of opportunity, loss of an offer of employment, or any loss that was not a foreseeable consequence of the failure.

Nothing here limits liability that cannot be limited by law, including for intentional harm, for death or personal injury caused by our negligence, or for anything else Polish law does not allow to be excluded.

These terms are governed by Polish law, and a dispute is heard by the courts of Warsaw. If you are a consumer, this does not take away the protections of the law of the country you live in, and you may bring a claim in your own country's courts.
